Terms of service

Last updated: 29 October 2026

These terms are between Advica AI Solutions Ltd, registered in England and Wales, company number 17076839, registered office Towngate House, 116-118 Towngate, Leyland, PR25 2LQ (“we”, “us”), which builds and runs The Valet App, and the business that creates a The Valet App account (“you”). The Valet App is a business-to-business service for valeting and detailing businesses. Section 10 covers customers who book through The Valet App. Contact us using office@advicaaisolutions.co.uk.

1. The service

The Valet App provides online booking pages, a diary, customer records, deposits and payments, invoices, reminders, regular cleans and related tools. We improve and change features over time and will tell you in advance about changes that materially reduce what the service does. We aim for high availability but can't guarantee the service will always be uninterrupted or error-free.

2. Your account

You must give accurate information, keep your login details secure and are responsible for what happens under your account, including by staff you invite. You must be at least 18 and running a genuine business.

3. Free trial and subscription

  • New accounts get a free trial of 14 days. No payment is taken during the trial.
  • After the trial, continued use needs a paid monthly subscription, billed in advance through Stripe. Prices are shown on our pricing page and include any VAT we're required to charge.
  • You can change plan or cancel at any time. Cancelling takes effect at the end of the current billing month. We don't refund part months, except where the law requires it.
  • If a payment fails you keep full access for 7 days while Stripe retries. After that we may suspend access until it's paid. We keep your data for 90 days after suspension or closure so you can come back or export it, then delete it.
  • We'll give you at least 30 days' notice by email before changing your subscription price.

4. Payments from your customers

Card payments from your customers (deposits, full payments, payment links and regular cleans) are made to your own Stripe account, under Stripe's terms (stripe.com/gb/legal). You are the seller. You're responsible for your prices, your booking and cancellation terms, refunds, chargebacks and Stripe's fees. We are not a party to the contract between you and your customer and we never hold your customers' money. We never see or store card numbers.

We don't currently charge a fee on payments your customers make. If we introduce one, we'll give you at least 30 days' notice by email and show the rate in your payment settings before it applies.

5. Deposits, bookings and regular cleans

Online bookings take a card deposit unless you allow a customer to pay on the day. You decide your deposit amount and whether it's refundable, and you must show customers those terms before they book (your booking page does this). Regular cleans paid by card can only be offered to customers you've already valeted, and the customer must accept the plan and the price before they're charged. You must honour, pause or cancel a regular clean when a customer asks.

6. Your data and your customers' data

You own your data. For your customers' personal data you are the controller and we process it on your behalf, only to provide the service, as set out in our privacy policy. These terms include our data processing commitments under UK GDPR Article 28: we act on your instructions, keep the data confidential and secure, use only sub-processors listed in the privacy policy, help you meet customer rights requests, tell you without undue delay about any breach affecting your data, and delete or return it when you close your account. You must have a lawful basis for the data you hold and only send marketing to customers who have agreed to it. You can export your data at any time.

7. Acceptable use

You must not use The Valet App unlawfully, to send spam, to upload malicious or offensive content, to try to access other businesses' data, or to interfere with the service. We may suspend an account that does any of these, and will tell you why unless the law prevents it.

8. Liability

  • Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that can't be limited by law.
  • We aren't liable for indirect or consequential loss, or for loss of profit, revenue, business or goodwill.
  • Otherwise, our total liability to you in any 12 months is limited to the subscription fees and booking fees you paid us in those 12 months.
  • You're responsible for checking that your bookings, prices, tax and invoice details are correct for your business.

9. Ending the agreement

You can close your account at any time from your settings. We may end the agreement on 30 days' notice, or straight away if you seriously breach these terms. Sections 4, 6 and 8 continue after the agreement ends.

10. Customers who book through The Valet App

If you book a valet through a business's booking page, your contract for the valet is with that business, not with us. Their prices, deposit and cancellation terms are shown before you book. A customer account is free and optional: it lets you see bookings made with your email address, once you've confirmed it. You can delete your account at any time by contacting us.

11. General

We may update these terms. For changes that affect you materially we'll email you at least 30 days before they apply; carrying on using the service after that means you accept them. We may transfer this agreement to a company that takes over The Valet App; you may not transfer it without our agreement. These terms are the whole agreement between us about The Valet App. Notices to us go to office@advicaaisolutions.co.uk, and notices to you go to your account email. These terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction.
